Overview and Scope
This Privacy Policy describes how Callario ("Callario," "we," "us," or "our") handles personal information in connection with our customer-support platform, our website, and related services (collectively, the "Services").
This policy applies to personal information we process as a controller—for example, information about visitors to our website, prospective customers, and the personnel of our business customers. Where our customers use the Services to process personal information about their own end users, our customers act as the controller and Callario acts as a processor; that processing is governed by the agreement between us and our customer, including our Data Processing Addendum.
Callario is an early-stage company operating a supervised alpha. We aim to keep our data practices clear and limited, and we will update this policy as the Services evolve.
Information We Collect
Account and contact information: When you register interest, request a demo, or create an account, we collect information such as your name, business email, company name, and role.
Usage and device information: When you use our website or Services, we may collect information about your interactions, including IP address, browser and device characteristics, pages viewed, and similar technical data, through cookies and comparable technologies.
Customer content: When you use the Services, you and your end users may submit messages, tickets, knowledge content, and related data. We process this content on your behalf to provide the Services.
Communications: If you contact us for support or other inquiries, we collect the information you provide in those communications.
How We Use Information
We use personal information to provide, operate, maintain, and improve the Services; to communicate with you about your account, support requests, and product updates; to ensure security and prevent abuse; and to comply with legal obligations.
We use limited analytics and error-monitoring information to understand how the Services are used and to diagnose and resolve technical issues.
Callario does not use customer content to train foundation models. AI features operate on your data only to produce results for you within the Services, subject to our governance controls.
How We Share Information
We share personal information with service providers (subprocessors) that perform functions on our behalf, such as cloud hosting, email delivery, analytics, error monitoring, and AI/model processing. These providers are bound to process information only as needed to provide their services to us. A categorized list is available on our Subprocessors page.
We may disclose information where required by law, to respond to lawful requests, to protect our rights and the safety of others, or in connection with a corporate transaction such as a merger or acquisition, subject to appropriate safeguards.
We do not sell personal information.
Data Retention and Security
We retain personal information for as long as necessary to provide the Services and fulfill the purposes described in this policy, unless a longer retention period is required or permitted by law. Customer content is retained according to the terms of the applicable customer agreement and is deleted or returned upon termination as described there.
We maintain administrative, technical, and organizational measures designed to protect personal information appropriate to the nature of the data and our stage of operations. No system can be guaranteed perfectly secure, and we continue to invest in strengthening our controls. Our SOC 2 program is in progress.
Your Rights and Choices
Depending on your location, you may have rights to access, correct, delete, or restrict the processing of your personal information, to object to certain processing, and to data portability. You may also have the right to lodge a complaint with a supervisory authority.
Where Callario acts as a processor for a customer, requests from that customer's end users should be directed to the relevant customer, and we will assist the customer in responding as required.

International Transfers and Updates
We may process and store information in locations other than where it was collected. Where required, we rely on appropriate safeguards for cross-border transfers. We offer EU data residency options for eligible customers as described in our product documentation.
We may update this Privacy Policy from time to time. When we make material changes, we will take reasonable steps to notify you, such as by posting the updated policy and revising its effective indicator. Your continued use of the Services after an update constitutes acceptance of the revised policy.
